Configure Apple Mail for Exchange

Configuring Apple Mail for Exchange

Introduction

This document provides instructions about how to configure Apple's built-in email program, Mail, for use with UK's Exchange mail server. Mail can be configured to access multiple email accounts simultaneously and can access UK email via the POP, IMAP, or Exchange protocols. It provides the same level of access to your email as a web interface, but gives you more flexibility to organize and view your email.

Note: UK does not officially support any third-party email applications other than Microsoft Entourage (Mac) and Microsoft Outlook (Windows). The following instructions are provided as a courtesy, but we cannot guarantee that these settings will work with all third-party applications.

POP vs IMAP vs Exchange

POP, IMAP, and Exchange are all ways to connect to an email server and retrieve your email. When your email first arrives at UK, it is stored on the Exchange email server. You must tell your email program how you want it to access that mail.

POP "pops" the email off the server and saves it to your local computer. This is useful if you are nearing your Exchange storage limit or you only check your email in one location and want to be able to read it even when you are not connected to the internet. Typically, email is erased from the server after it is downloaded to your computer, so you can't retrieve that email again from another location. Mail can be configured to leave a copy of each message on the server after download, but this can become confusing if you check your email from multiple locations.

With IMAP, your email program works like a web browser by allowing you to view your email while it stays on the email server. You can download attachments and copies of your messages, but only when you want to. Any changes you make, such as folders you create, or mail you organize or delete, are made on the server, so everything looks the same regardless of the computer you use to check your mail. If you access email from multiple locations or you have a limited amount of space on your computer (or in your Mac account), IMAP is the better choice and the protocol we recommend for configuring use on the SCS Macintosh computers.

Users who need to access Exchange shared calendars, folders, emails, or address books while working collaboratively should use the Exchange protocol and should consider using Microsoft Entourage instead. Entourage is part of Microsoft Office and provides support for these additional enterprise features. While Mail can be successfully configured with the Exchange protocol, it is designed for personal use, not collaboration in a business environment. Microsoft Office is provided for free to UK faculty, staff, and students via the UK Download site.

Mail Setup

The first time Mail runs, the program will take you through a series of steps to configure your account. Changes can be made to account settings later by choosing Preferences from the Mail menu in the menubar, clicking the Accounts button, and highlighting the account you want to modify in the column on the left.

Configure the account settings as follows:

Account Type: IMAP (recommended) or POP
Description: Whatever you want to call your account
Email address: Your UK Email address
Example: joe.student@uky.edu
Full name: Your name as you want it to appear in the From field of email you send.
Example: Joe Student
Incoming Mail Server for IMAP:
(recommended)
imap.uky.edu
Incoming Mail Server for POP: pop.uky.edu
User Name: Your link blue user ID
Password: Your link blue password
Outgoing Mail Server for POP/IMAP: smtp.uky.edu*
  • *If you will be sending mail from off campus, click the "Server Settings..." button, choose NTLM from the Authentication menu, enter your link blue userID and password in the User Name and Password fields, and enter AD in the Domain field. Alternatively, you can enter the smtp settings provided by your ISP.
  • Click on the Advanced tab. At the bottom of the window, make sure the SSL box is checked, choose NTLM from the Authentication pull-down menu, and enter AD in the Domain Name field.
  • The settings should look like this when you are done: IMAP or POP.
  • After you have your account configured, use the options under the "Mailbox Behaviors" tab to choose where you want to store your sent messages, how often to delete email, etc.

Additional Tips

If you have any trouble sending mail through Exchange and you are using a UK vanity address (first.last@uky.edu), log on to the UK Account Manager and reenter your vanity address. This may solve the problem.

These settings, or the generic exchange settings, can be used to configure other third-party email applications, such as Eudora, Thunderbird, or MailSmith.

If you have multiple email addresses that support IMAP or POP, you can configure Mail to check all your email accounts at the same time. Get information about the incoming and outgoing mail servers from your email provider, then create additional accounts in Mail with the new settings.
