Wiki Pages: Configure Outlook 2007 for Exchange

Introduction

Outlook 2007 allows you to access your Exchange email, calendar, contacts and tasks on the Exchange server. This document gives instructions on setting up the Microsoft Outlook 2007 application. To use Outlook 2007, you must have Microsoft Office 2007 installed on your computer. If you do not already have Office 2007 on your computer, please see the Obtaining and Installing Office 2007 document for instructions.

Before setting up Outlook 2007, you will need to have a Microsoft Exchange account. Microsoft Exchange accounts are automatically created for users that activate their Link Blue accounts and do not elect to forward their email. Users that have forwarded their email can login to the UK Account Manager to disable email forwarding and create their Exchange mailbox..

Please note:

  • The Exchange domain for Exchange users in the UK Campus is "AD", excluding quotes.
  • The Exchange domain for Exchange users in the Medical Center is "MC", excluding quotes.

If you are unsure about which domain your account belongs to, please check with your departmental support or contact UKIT Support.

Please note that after you are finished configuring Outlook  information (email, calendar, contacts, tasks, etc.) will begin to display in Outlook. It may take several moments to get all your information.

 

Setting Up Outlook 2007

Important Note: You computer must be connected to UK's Network while setting up Outlook 2007. Users attempting to configure or user Outlook from Off Campus will need to download, install, and use a VPN client. More information about obtaining and installing a VPN client is available in the VPN Wiki.

Setting up Outlook for the first time

If this will be the first time you have opened and configured Outlook you can follow the steps below.  If you have previously configured Outlook to check another email account, you will need to follow the steps in the "Changing your Outlook Settings to check your UK Exchange email" section.

  1. Open the Microsoft Outlook application.
    • Click on the Start button, then select Programs > Microsoft Office > Microsoft Outlook 2007.
    • It is possible that a shortcut to Microsoft Outlook was made on your desktop - double-click the shortcut icon to start Outlook.
  2. Before the Outlook application runs for the first time, the Startup Wizard will appear. Click on the Next button on the initial Startup Wizard window to begin.
  3. The Startup Wizard will ask you if there are any email accounts that you would like to set up. Click on the selector button corresponding to Yes and click Next.
  4. The Startup Wizard will ask you to enter your name, email address, and password.  Enter the requested information and click 'Next'.
    1. Note: When entering your email address please enter the University Email Address you setup when you activated your account.  By default this is in the format of Firstname.Lastname@uky.edu, although you can choose anything you like.
  5. Outlook will attempt to locate your Exchange Server settings and configure itself Automatically.
  6. You may be prompted to login to Autodiscover.uky.edu or Autodiscover.email.uky.edu one or more times.  This is normal, please login using your AD\username or MC\username login information.
  7. Once Outlook has finished configuring your account you should see three green checkmarks, and the message that your e-mail account is successfully configured to use Microsoft Exchange.
  8. Click the 'Finish' button to complete the account setup.
  9. Outlook will now start. Your Exchange account information (email, calendar, contacts, tasks, etc.) will begin to display in Outlook. It may take several moments to get all your information.

Changing your Outlook Settings to check your UK Exchange email

If you have previously configured Outlook to check an email account you will not see the Startup Wizard when you open Outlook.  You will need to follow the steps below in order to configure Outlook.

Preparation

  1. Make sure Outlook is not running.
  2. Open your Control Panel.
    1. Click Start -> Control Panel.
  3. In the Control Panel find and double click on the 'Mail' icon.
    1. If you don't see a 'Mail' icon you may need to click on 'User Accounts' first, and then click on the Mail icon.
  4. Click the 'E-mail Accounts' button.
  5. The accounts currently configured to receive email will be listed on the Email tab.  If you no longer have these accounts you can remove them to prevent Outlook from generating errors.
    1. If the account type is Exchange, IMAP, or HTTP you will lose any email saved in that account.
    2. Click on the account you wish to remove, then click the 'Remove' button.
  6. Once you have removed any accounts you no long want or need you are ready to configure Outlook.

Automatic Account Setup

  1. Now that you are ready to add the new account, click the 'New' button.
  2. You will be prompted to enter your name, email address, and your password.  Please enter this were prompted.
    1. When entering your email address, make sure to enter the University Email Address you created when you activated your account.  By default your University Email Address will be in the form of Firstname.Lastname@uky.edu.
    2. Note: If your name and email address are automatically populated, and you don't see a place for your password this is OK.  It just means you log into your machine with your Link Blue account and Outlook was able to determine this information automatically for you.
  3. Click the Next button.
  4. Outlook should now contact the Exchange Servers and configure itself to check your Exchange Email.
  5. Click the 'Finish' button.
  6. Outlook should alert you that you have changed where new e-mail messages and calendar information is stored. Click OK on this alert message.
  7. Outlook should now be configured your check your Exchange Email.  You can tell that new messages and calendar items will be stored in your Exchange Account as under the Accounts list Outlook states that new email messages will be delivered to your Mailbox.

Manual Account Setup

If your Outlook client is unable to automatically configure your Exchange email settings, it may be necessary to manually enter your account information.  Please follow the steps below to manually configure your Exchange Account.

  1. Now that you are ready to add the new account, click the 'New' button.
  2. You will be prompted to enter your name, email address, and your password.  Leave these blank.
  3. At the bottom of the window is a small check box labeled 'Manually configure server settings or additional server types.  Check this box and click 'Next'.
  4. For your email service, select the 'Microsoft Exchange' option and click 'Next'.
  5. For your Exchange server enter: exchange.uky.edu
  6. For your username enter your link blue username.  Note: do not include the AD\ or MC\
  7. Click the 'Check Name' button. 
    1. Note: When you hit the 'Check Name' button Outlook may prompt your for your password.  In this instance you will need to make sure your username IS specified as AD\username or MC\username.
    2. Once Outlook has been able to locate your account information it will automatically replace the Exchange server information with your server information and will replace your username with your full name.
  8. Click the Next button.
  9. Outlook should alert you that you have changed where new e-mail messages and calendar information is stored. Click OK on this alert message.
  10. Outlook should now be configured your check your Exchange Email.  You can tell that new messages and calendar items will be stored in your Exchange Account as under the Accounts list Outlook states that new email messages will be delivered to your Mailbox.
  11. Click the 'Finish' button to complete the account setup.
